From lime sample to shipment: keep the approval trail intact

Link the sample, test report, offered grade and delivered lot so a successful trial supports a clear purchasing decision.

A sample result needs an identity

A laboratory result is useful only when the purchasing team knows what material was tested. ASTM C50/C50M addresses sampling, sample preparation, packaging and marking of lime and limestone products. Its scope is a reminder that the connection between a test and a material begins before the analytical result is issued.

The applicable full procedure should be used by qualified personnel. This article is an editorial documentation checklist, not a reproduction of a sampling standard.

Define the approval record before a trial

Agree the product description, offered grade and proposed trial quantity. Ask how the sample will be identified, what it represents and who will take it. The laboratory report should be linked to that identification and the tests selected by the buyer’s technical team.

Keep the agreed acceptance limits alongside the results. A report with familiar-looking percentages does not by itself show that every requirement in the purchase specification has been met.

Connect the trial with repeat supply

  • Material: product, physical format and specification revision.
  • Sample: unique reference, date and agreed sampling basis.
  • Testing: laboratory, methods, report and acceptance criteria.
  • Decision: who approved the trial and any conditions attached.
  • Shipment: lot identity and documents relevant to the delivered material.

State how differences between the trial material and a later offer will be reviewed. Changes should remain visible to the person responsible for technical approval, rather than being lost between procurement emails and shipment documents.

Agree the document handover

Identify which documents are required before dispatch and which accompany delivery. A sample approval and a shipment COA serve related but distinct purposes. Preserve both in the purchase record and confirm how the receiving team will connect them with the lot received.
